    The Gideons International want to start a new project

    The Problem

    As one of the most recognizable names in the non-profit world, The Gideons International is always looking for ways to stay top of mind in their market. One of those initiatives, The Life Book, presented unique challenges. Their goal is to distribute small, engaging booklets of the Gospel designed for teens to youth groups around the United States.

    As with most new projects, startup teams are small, resources are limited, and team members must perform multiple jobs during the workday as they prove the model. The founding team for The Life Book consisted of a writer (to produce the actual booklet), a marketing expert, and a small advisory board made up of stakeholders from the parent organization. Once the first version of the booklet was finished, attention then turned to rollout.

    The need for operational excellence quickly became apparent as plans were made to begin distribution of the new booklet. Operational needs included:

    • Vendor procurement and management for printing.
    • Shipping supply chain management.
    • Web property creation.
    • Order processing system implementation.
    • Implement remote team management policies and best practices.
    • IT infrastructure leadership and project management.

    The Solution

    The Life Book founding team reached out to Bento to engage our Fractional COO & CTO services. After an initial analysis of the situation, a plan was put in place to offload their operational burdens to the Bento team. A supply chain for the new booklets was created using by coordinating printing, shipping, and fulfillment vendors. A web property designed to handle their unique ordering guidelines was designed along with the IT infrastructure to support it.

    The Bento platform was used as the data repository for the entire organization, allowing easy access to order data, tracking of their printing and shipping projects, and automated communication with the fulfillment vendors. The entire organization was given a single system containing all of their critical information. The executive team now had immediate, real time access to their data, and the rest of the team could continue to work remotely because of the collaborative tools provided by Bento.

    As a result of engaging the Bento Systems team's Fractional COO/CTO services, The Life Book was able to grow from 30,000 booklets distributed per year, to now over 5.5 Million booklets distributed per year. The executive team remains the same size as it did in the first year, and the support staff has only grown by a single person.     As the premier event planning company in their market, the client was facing challenges keeping inventory and people in order. With multiple events happening every weekend, spread across the city, their current workflows were too disorganized, which resulted in inventory and staffing problems. Double-booking staff was common along with over-utilization of resources. This resulted in last minute trips to the party planning store, and frantic calls to local staffing agencies to fill unforeseen gaps in staffing coverage. All of these errors are easy to spot with the right tools, but expensive to fix when missed.

    Bento was chosen to bring order to the chaos.
